How to respond to Google reviews (with examples)

· 7 min read

To respond to Google reviews, open your Business Profile, click Read reviews, then Reply under the review. Your profile has to be verified first. Keep the reply short, use the person's name, and say something specific about their visit.

That's the easy part. The harder part is what to write, especially when the review is unfair. Below are the steps, the common problems, and replies you can copy and change.

How to reply to a Google review

You need to be an owner or manager of the Business Profile, and the profile has to be verified.

  1. Go to your Business Profile. Search your business name on Google while logged in, or open business.google.com.
  2. Click Read reviews.
  3. Find the review and click Reply.
  4. Write your reply.
  5. Click Reply again to post it.

You can also reply on your phone in the Google Maps app, as long as you're logged in with the account that manages the profile.

A few things happen after you post:

  • The reviewer gets a notification. They see your reply and can still change their review.
  • Google checks your reply first. Google says this usually takes up to 10 minutes, but it can take longer. If the reply breaks a rule, you're asked to edit it.
  • It's posted as the business. Your personal name isn't shown, so sign it yourself if you want it to feel personal.

Why won't Google let me reply to a review?

The usual reasons:

  • Your profile isn't verified. Google only lets verified businesses reply.
  • You're logged in with the wrong account. Your personal Gmail might not be the one that manages the profile.
  • You don't have the right role. Owners and managers can reply. Check who has access in your Business Profile settings.
  • The reply is still being checked. It can look like nothing happened. Wait and check again later.
  • Reviews are turned off for your category or region. Google doesn't allow reviews for some business types, for example some schools.

How to edit or delete a reply

Open Read reviews again. Under your reply, click the edit icon to change it, or the delete icon to remove it. You can do this any time, and it's worth doing when a customer updates their review after you fixed the problem.

What to write: the basic formula

Most good replies have the same three parts:

  1. Name and thanks. "Hi Maria, thanks for the review."
  2. One specific detail. Mention what they wrote about. This shows a person read it.
  3. What happens next. "See you next time", or for a bad review, how they can reach you.

Google's own tips for replies say the same: be polite, keep it short, don't send everyone the same "thank you", and don't put offers or ads in replies.

Remember who reads the reply. The reviewer reads it once. Future customers read it for months. Write for them too.

Replies to positive reviews (examples)

Short is fine. Two or three sentences. Just don't copy the same line under every review, because it looks automatic.

A 5-star review with details:

Hi Maria, thank you! Really glad the new kitchen layout works for your family. Enjoy the extra counter space, and say hi to Bruno from us.

Tom, owner

A 5-star review with only stars and no text:

Thanks a lot for the 5 stars, David. Hope to see you again soon.

A review that names a staff member:

Thanks Priya! I'll pass this on to Sam. She'll be happy to hear the color turned out exactly how you wanted.

A good review with one small complaint:

Thanks for the kind words, Leo, and for the honest note about parking. We know it's tight on Saturdays. The lot behind the bakery is free after 10, and we'll put a sign up so it's easier to find.

A returning customer:

Five years and still coming back. Thank you, Ellen. That means a lot to the whole team.

Replies to negative reviews (examples)

Take a few minutes before you answer. Then:

  • Thank them and say sorry for the part that was your fault.
  • Don't argue about details in public.
  • Give one way to reach you directly. An email or phone number is fine. Google allows business contact info in replies.
  • Never share private details about the customer.

A real problem, your fault:

Hi Laura, thanks for telling us, and I'm sorry. You waited 40 minutes past your booking, and that's not OK. We were short on staff that night and should have told you right away. I'd like to make it right. Could you email me at [email protected]?

Anna, owner

A problem that's partly your fault:

Hi Ken, sorry the delivery came two days late. That part is on us, and we've changed couriers for your area. The size issue we'd like to look at with you. Can you send your order number to [email protected]? We'll sort out an exchange.

A 1-star review with no text:

Hi Mark, sorry we didn't get it right. If you're open to it, tell us what happened at [email protected]. We read every message.

A review that gets the facts wrong:

Hi James, thanks for the feedback. We couldn't find a booking under your name for that week, so we might be missing something. Please email [email protected] with the date, and we'll look into it.

A rude review:

Hi Chris, sorry your visit was frustrating. We'd like to understand what went wrong. You can reach me directly at 555-0142.

Keep it the same tone as you'd use face to face. You don't need to match their tone.

If you have a lot of these and want more, our post on how to remove a Google review covers what to do when a bad review won't go away.

Replies to fake reviews (examples)

First, report it. Fake reviews break Google's rules and can be removed. The remove a Google review post shows how.

While you wait, reply anyway. Future customers see the review now. Stay calm and factual. Don't call the person a liar or guess who they are.

Hi, we can't find any record of a visit or order under this name. If you were a customer, please contact us at [email protected] so we can help. If this was posted by mistake, we'd appreciate it if you removed it.

Don't accuse a named competitor or ex-employee in public, even if you're sure. Put that in your report to Google instead.

Special cases

Healthcare, legal and finance. Don't confirm the person was a patient or client, and don't mention any details about their case. In the US, a reply can break HIPAA privacy rules for health providers. A safe reply stays general:

Thank you for the feedback. We take every concern seriously. Please call our office at 555-0100 and ask for the practice manager so we can talk.

This is not legal advice. Check with your own advisor if you're unsure.

Reviews in another language. Reply in the same language if you can. A short, simple reply is better than none.

Old reviews. It's fine to reply to old reviews. Start with the most recent and the negative ones.

How fast should you reply?

There's no rule. Within a few days is good. For negative reviews, sooner is better, because the customer is still waiting and still open to a fix.

What matters more is replying at all. A profile where the owner answers looks cared for. A profile with 50 reviews and no replies looks like nobody's home.

Get more reviews worth replying to

One bad review hurts most when you only have a few. The fix is more reviews from normal, happy customers. Most of them don't write one because nobody asked.

Send a short message after a good visit with your direct review link. You can make that link with our free Google review link generator. Ask everyone, not only the people you think are happy.

And give unhappy customers a place to tell you first. Testimoon's customer feedback forms send low ratings to you privately, so you hear about a problem while it's still easy to fix. It doesn't stop anyone from posting on Google, and it shouldn't.

FAQ

Should you respond to every Google review?

If you can, yes. Replying to good reviews shows you read them. Replying to bad ones matters even more, because people check how you handle problems. If you're short on time, reply to all negative reviews and to positive reviews with real details.

Can a customer reply to my reply on Google?

No. There's no reply thread. The customer can edit their review, and the new version shows above your reply. If they do, update your reply so it still makes sense.

Can you get a bad Google review taken down?

Only if it breaks Google's rules, like fake reviews, spam or hate speech. You report it and Google decides. A real customer's honest bad review stays. See how to remove a Google review.

Can I use AI to write review replies?

Yes, but edit every reply. AI replies tend to sound the same, and customers notice when every reply says "We're thrilled you had a great experience!" Add one real detail from the review, and check you aren't sharing anything private.

Can I offer a discount in a reply?

Don't. Google's tips say replies shouldn't include offers or promotions. And never offer anything in return for changing or removing a review. Google doesn't allow it.
